Gardeners Bow is committed to providing a safe and healthy working environment for our employees, clients, visitors, contractors, and members of the public who may be affected by our gardening and grounds care activities. This policy sets out our approach to managing health and safety in all aspects of our work, including domestic gardens, commercial sites, and shared outdoor spaces.
Policy Aims and Responsibilities
The primary aim of this policy is to prevent accidents, injuries, and work-related ill health and to promote good practice in all areas of our operations. Health and safety is a shared responsibility, and everyone working for or with Gardeners Bow is expected to cooperate fully with this policy.
Overall responsibility for health and safety rests with the company management. They are responsible for ensuring that appropriate systems, resources, and supervision are in place to maintain safe working conditions. Supervisors and team leaders are responsible for day-to-day implementation, including briefing staff, monitoring compliance, and reporting issues.
All employees must take reasonable care of their own health and safety and that of others who may be affected by their actions or omissions. They must follow all safety instructions, use equipment correctly, wear required personal protective equipment, and report hazards, near misses, and incidents as soon as possible.
Risk Assessment and Safe Working Practices
Gardeners Bow will undertake suitable and proportionate risk assessments for all regular tasks and for specific projects or unfamiliar locations. These assessments identify hazards, evaluate risks, and determine appropriate control measures.
Risk assessments will cover, where relevant, the use of machinery and powered tools, manual handling, working at height, traffic and vehicle movements, use of chemicals and garden products, adverse weather, uneven ground, water features, and other site-specific hazards. Findings from risk assessments will be communicated to staff and will inform safe systems of work and method statements.
Staff are expected to follow the safe working practices derived from these assessments. Any concerns about the practicality or adequacy of control measures must be raised with a supervisor so that assessments can be reviewed and updated where necessary.
Training, Instruction, and Supervision
Gardeners Bow will provide appropriate information, training, and supervision to ensure that staff can carry out their duties safely. This includes induction training for new starters, task-specific instruction for equipment and machinery, and refresher training when required.
Only staff who have been trained and deemed competent may operate specialist gardening machinery or undertake higher-risk activities. Supervisors will monitor the performance of staff and provide additional guidance and support where needed to maintain safe standards of work.
Use of Equipment and Machinery
All tools, machinery, and equipment used by Gardeners Bow will be suitable for their intended purpose and maintained in safe working order. Regular inspections and servicing will be carried out in line with manufacturer recommendations and good industry practice.
Before use, staff must check equipment for obvious defects, such as damaged cables, missing guards, loose parts, or signs of excessive wear. Any defective items must be removed from service immediately and reported for repair or replacement. Equipment must be used strictly in accordance with training and manufacturer guidance.
Personal Protective Equipment
Gardeners Bow recognises the importance of personal protective equipment, often referred to as PPE, in reducing the risk of injury. Suitable PPE will be provided where risks cannot be adequately controlled by other means. This may include safety footwear, gloves, eye and ear protection, high-visibility clothing, respiratory protection, and weather-appropriate clothing.
Employees must use PPE as instructed, look after it properly, and report any damage or loss. Replacement items will be provided where necessary. PPE is considered an integral part of the job and must not be disregarded or misused.
Chemical and Product Safety
Where Gardeners Bow uses garden products such as fertilisers, treatments, or other chemical-based materials, these will be selected and handled with care. Relevant safety data and product instructions will be followed at all times.
Only trained and authorised staff may handle and apply such products. Measures will be taken to protect staff, clients, pets, wildlife, and the environment, including safe storage, correct application, and clear communication of any necessary exclusion periods or precautions for site users.
Manual Handling and Physical Wellbeing
Gardening work often involves lifting, carrying, and repetitive physical tasks. Gardeners Bow aims to minimise the risk of strains, sprains, and other musculoskeletal injuries by planning work to reduce heavy lifting, using mechanical aids or team lifting where possible, and providing guidance on good manual handling techniques.
Employees are encouraged to work at a steady pace, use correct posture, and take short breaks where appropriate to avoid fatigue. Any discomfort, pain, or suspected injury must be reported so that adjustments can be made to work practices and support can be offered.
Site Safety and Public Protection
When working at client properties or public spaces, Gardeners Bow will take reasonable steps to protect clients, visitors, and members of the public. Work areas will be organised to minimise trip hazards, restrict access to high-risk zones, and ensure that tools and materials are stored safely.
Where necessary, warning signs or barriers will be used to alert people to work in progress. Particular care will be taken when using powered machinery or sharp tools near paths, entrances, driveways, and communal areas. Vehicles will be parked and manoeuvred with due regard for pedestrians and other road users.
Incident Reporting and Emergency Procedures
All accidents, injuries, near misses, and hazardous situations must be reported promptly so that they can be investigated and lessons can be learned. Records will be kept and reviewed to identify trends and opportunities for improvement.
Gardeners Bow will ensure that staff are aware of basic emergency procedures, including how to obtain first aid, how to respond to fire or serious injury, and how to summon emergency services when needed. First aid supplies will be available within vehicles or on site as appropriate.
Monitoring, Review, and Continuous Improvement
This health and safety policy will be monitored on an ongoing basis and formally reviewed at regular intervals, or following any significant change in operations, legislation, or best practice. Feedback from employees, clients, and other stakeholders will be considered as part of this process.
